La Chambre de Commerce est l'institution phare des entreprises et de l'économie du Luxembourg. Elle regroupe l'ensemble des entreprises luxembourgeoises exerçant des activités industrielles, commerciales, financières, des services ainsi que de l'Horeca.
Elle représente aujourd'hui quelques entreprises, qui totalisent 80% du PIB luxembourgeois et 75% du total de l'emploi salarié.
Le service IVET (« Apprentissage ») intégré au domaine d'activité Talents & Skills de la Chambre de Commerce, travaille en collaboration avec l'ensemble des acteurs nationaux de la formation professionnelle initiale. Il participe activement à l'élaboration des programmes de formation et à l'organisation du dispositif d'apprentissage au Luxembourg.
Dans le cadre de nos activités liées à la formation professionnelle initiale, nous recherchons un/une responsable du service clients alliant sens de l'organisation et rigueur administrative. En plus de coordonner l'activité du service, cette personne prendra en charge directement la gestion quotidienne des contrats d'apprentissage et diverses tâches administratives. Elle contribuera également à l'amélioration continue et à la digitalisation de nos processus internes.
RESPONSABILITÉS
- Assurer la coordination et la gestion opérationnelle du service.
- Contribuer à la revue, à l'amélioration et à la digitalisation des procédures administratives.
- Assurer l'encodage, le suivi et l'envoi des contrats d'apprentissage.
- Gérer le suivi administratif des dossiers des apprentis et des entreprises formatrices.
- Répondre aux demandes et assurer une communication efficace avec les différents interlocuteurs (apprentis, tuteurs, entreprises, partenaires) concernant l'organisation de l'apprentissage et les démarches associées.
- Participer à l'organisation des actions et initiatives d'orientation et de sensibilisation (TalentCheck et autres).
- Mettre à jour les bases de données et assurer le suivi des échéances.
- Préparer et gérer les documents administratifs liés à l'apprentissage.
- Apporter un soutien administratif à l'équipe et aux conseillers à l'apprentissage.
COMPETENCES REQUISES
- Formation en secrétariat, gestion administrative ou équivalent.
- Expérience confirmée dans un poste similaire, idéalement incluant la gestion d'une équipe, la revue de procédures et la digitalisation.
- Excellentes compétences en coordination et en gestion de projets administratifs.
- Maîtrise des outils bureautiques (Word, Excel, Outlook, SharePoint, Jira) et intérêt marqué pour les outils numériques.
- Bonne connaissance du système d'apprentissage au Luxembourg (atout apprécié).
- Rigueur, sens de l'organisation, autonomie et esprit d'équipe.
- Aisance relationnelle et excellente capacité de communication. Capacité à comprendre les besoins des entreprises, à faire preuve de proactivité et à prendre des initiatives.
- Maîtrise des trois langues administratives au Luxembourg. La maitrise de l'anglais est un atout.
