Your role – Are you ready for a challenge?

The Paralegal Assistant is responsible for providing support to the legal team by handling a wide range of tasks, including maintaining and filing various systems and monitoring tools, assisting in the drafting of various documents, preparing external and internal reports, organizing department's files, conducting divers research, entering information into databases, managing meetings and handling department's expenses.

Your responsibilities will be as follows:

  • Managing the Legal helpdesk mailbox to ensure that requests are dispatched and followed up by the respective legal counsel;
  • Coordinating and drafting the internal and external reports (collating the information from the Legal team to prepare the internal and external reports);
  • Filing various systems and monitoring tools (Organising and maintaining the legal tool and contracts database);
  • Handling supplier invoices and department's expenses (handling the expense management system, the approval and payment of invoices, conferences, travels, etc);
  • Meeting Management (Setting team meeting agendas, coordinating logistics, preparing team packs, and taking minutes of the meetings);
  • Document drafting (Contributing to the preparation of documents, correspondence and PowerPoint presentations and notes for internal and external meetings/events).

Your profile – Have you got what it takes to become our Paralegal Assistant?

  • Proven working experience as a personal assistant/executive assistant, ideally in a Legal environment;
  • Excellent organization skills and the ability to manage multiple tasks simultaneously;
  • Able to exercise sound judgement and initiative;
  • Action-oriented and creative;
  • Competency in standard computer software and legal research tools is vital (MS Office applications; Word, Excel, PowerPoint & Outlook);
  • Excellent communication skills, both written and verbal;
  • Fluent in English. A good level in French and/or German is an advantage.
