The Billing Coordinator plays a key role in managing the billing function, ensuring efficiency, compliance, and timely delivery of financial processes. This position combines leadership, operational oversight, and project management responsibilities.
You will be responsible for the following:
Ensure appropriate staffing levels within the Billing department and an efficient allocation of portfolios among team members
Report directly to the Head of Finance
Liaise with the Netherlands office all projects, systems, updates regarding changes etc. and implement if applicable
Identify bottlenecks and proactively propose improvements
Act as the primary point of contact for fee-earners, finance professionals, and team assistants, providing clear guidance and instructions
Hold regular meetings with team members to review portfolio status, training needs, and other relevant issues
Train and coach team colleagues to ensure ongoing professional development and performance improvement
Monitor and oversee the timely entry of timekeeping data and billing processes.
Support the team with billing tasks when required and actively work on the billing of an assigned portfolio to maintain hands-on involvement and operational expertise.
Ensure all invoices comply with client-specific billing guidelines, including e-billing requirements and outside counsel guidelines.
Maintain accurate billing records for audits and ensure compliance with regulations.
Lead or support billing-related projects, implementation of new billing software, process automation, and client-specific reporting.
Demonstrable leadership experience from previous roles.
Familiarity and comfort working with financial software and automated systems.
Excellent skills with Excel is mandatory.
Experience in professional or legal services is considered a plus.
Excellent verbal and written English communication skills.
Strong interpersonal skills; a communicative team player who achieves results, considers different team dynamics, and adapts smoothly to change.
Organizationally sensitive, able to balance interests effectively, and adept at communicating with various internal stakeholders.
