This role requires deep knowledge of Practice Management Systems (PMS), attention to detail, and the ability to lead and support a team in a fast-paced, evolving environment.
**What you will be working on**:
- Supervising end-to-end billing activities, including invoice creation, credit notes, job close-outs, and adherence to client contracts, engagement letters, and internal billing policies.
- Managing Business Services administrative invoices and ensuring timely invoice dispatch and upload to payment platforms.
- Supporting the month-end and year-end financial close processes to ensure accuracy and timeliness.
- Monitoring and ensuring VAT compliance across billing operations.
- Overseeing service delivery against established Central Billing Service Level Agreements (SLAs).
- Leading job management tasks: suspensions, closures, WIP write-offs/write-ons, time transfers, and non-automated profile changes.
- Acting as a key contact for internal and external client billing-related queries, documentation collection, and PMS transaction processing.
- Proposing and implementing improvements in billing procedures and automation efforts.
- Partnering with the Accounting Supervisor to reconcile PMS and accounting records.
- Supporting new policy and system implementations, including PMS upgrades and tool integrations.
- Managing ad hoc administrative duties linked to billing and financial operations
People Management Responsibilities:
- Supervising and coaching Billing Officers and Assistant Data Managers.
- Delivering onboarding, training, and ongoing technical support to team members.
- Leading performance and feedback reviews.
- Managing team workloads and adjusting priorities in line with business changes.
- Collaborating with the Team Leader to coordinate the externalized resources and support new internal client onboarding.
**What we look for**:
- Minimum 3 years of professional experience in a billing, finance operations, or similar supervisory role, ideally within a shared service center or multinational environment.
- Strong working knowledge of Practice Management Systems (PMS) and billing systems.
- Fluency in English is required; additional languages are considered an asset.
- Demonstrated ability to manage teams and coordinate tasks in a dynamic environment.
- Strong understanding of VAT and financial compliance standards.
- Excellent attention to detail and organizational skills.
- Proven track record of improving billing processes and supporting system implementations.
- Ability to communicate clearly with stakeholders across multiple departments and locations.
- Proficiency in Microsoft Office tools; experience with billing automation tools is a plus.
