**Tasks and Responsibilities**:

- Manage different secretarial tasks, incoming calls, handle daily incoming and outgoing mail
- Responsible for booking visitor parking upon request
- Arrange travel, meeting, and appointments for private and professional purposes
- Be in contact with external partners, find solution related to various third-party service providers
- Manage the ordering process and stock maintenance of stationery and equipment
- Responsible for balancing office budgets, recording the office related expenditure.
- Responsible for all reception tasks and any other request by the direct line manager and management
- Daily support to the management and staff
- Clear verbal conversation as the first point of contact to the office
- Arrange catering for meetings and external guests
- Take part in internal office management event planning processes
- Handle ad hoc requests from the line manager or the management
- Work and assist the Office management team in their respective tasks.
- Required office tour to visualize and create better working environment.
- Multitasking approach and eager to learn.

**Qualifications**:

- Secretarial education preferred (graduate level)
- Minimum 2-year relevant professional experience
- Excellent oral and written command of English, French and/or German is considered as a plus
- Solution driven personality with a can do attitude
- Excellent organization skills to keep accurate records and find important information quickly
- Time management skills to prioritize and complete a side variety of tasks
- Excellent interpersonal skills to create a pleasant experience for all customers
