One of the three pillars of the University of Luxembourg is scientific research. The Principal Investigators (PI) are conducting research projects with their scientific team. They are supported by administrative, financial, and technical staff to perform the administrative and operational tasks of the project. The support includes providing analytic and financial project information to the PI, to the University management, and to the external funders and their auditors.
**Your role**:
The University is developing a digital solution, CRIS-Current Research Information System, to monitor and organise the administrative tasks along the lifecycle of a research project. The CRIS project is live. Its current challenges are twofold: to focus on the user’s adoption and to finalise the end-to-end coverage of the digital solution, especially for the multi-year execution of research projects. Centred on people in the Faculties, Interdisciplinary Centres (IC) and Central Services, the CRIS team facilitates the quality build-up, the process formalisation, and the continuous improvement of the solution.
The project officer will provide quality and process support, join the CRIS project team, and report to the Head of the Research Support Department. The job holder will contribute to the optimal design and documentation of processes to ensure compliance with the PI’s expectations, internal guidelines, and external rules from the funders.
- Activities & Tasks_
- Help organise and facilitate sessions to produce process content with the Faculty/IC/Central stakeholders, and to document and agree:
- the operational processes with roles, responsibilities, tasks, and quality controls
- the formalised rules of each funding instrument
- the user guidelines for an harmonised use of CRIS across Faculties and ICs, and their formalisation, validation, and communication by the CRIS Advisory Board
- the management and operational rules and their formalisation, validation, and communication by the University management
- the specification of the user stories to improve/complete the digital solution, the preparation of mock-ups and their translation in ‘how to’ sheets and in use cases or scripts for acceptance testing
- Support the collection and formalisation of the users’ feedback and of the end-to-end documentation:
- monitor the repository of all related documentation and the interdependencies
- monitor the feedback log, delivery log and related KPIs
- help preparing the content for related communication to the extended core team and to each stakeholder group.
- Contribute to coaching, training, and communication actions to share knowledge and involve stakeholders following the project's adoption milestones 2024-2026
**Your profile**:
- Higher Education degree (Master)
- Several years of professional experience in an audit or consulting firm or an equivalent role within a public institution or a private company
- Proven records in the implementation and continuous improvement of administrative processes supporting an organisation's core business, including financial controlling and reporting
- Certification and/or proven experience with business process management (BPM), Lean 6-Sigma, and Change Management
- Content and quality-oriented with an ability to animate and execute interdependent tasks
- Experience and functional knowledge with organisation-wide digital solutions (ERP-SAP)
- Detail-oriented with good analytical and problem-solving skills
- Proficient in Microsoft PowerPoint, Word, Excel, Teams, OneNote, and Visio or BPM tools
- Fluency in English is essential. French and German would be an asset
Knowledge of national (FNR) and European funding instruments (e.g. Horizon Europe) and experience with scientific research would be an asset.
