TASK RESPONSIBILITIES:

If this is you, we would love to meet as you consider taking on this short-term assignment (due to a maternity/parental leave) with the Internal Audit department (IA).

- Driving, Co-coordinating, and supporting the preparation of the Audit Committee and other Senior Leadership meetings, ensuring documents are timely gathered, prepared, accurate and distributed to the relevant persons (includes agenda preparation, presentation, etc.);
- Liaising with the Head of Internal Audit and team members to support the risk-based audit plan execution (including by not limited to audit engagement and report distribution, meeting requests, documentation review, etc.);
- Managing and maintaining appropriate and timely filing/archiving of electronic and paper documentation;
- Managing proactively the team’s travel needs and coordinating with the Cargolux travel office;
- Handling other general company administration and office management tasks as necessary (including, but not limited to managing as-needed expense reports, calendars, trips, meetings, etc.);
- Supporting ad hoc projects implementation;
- Acting as SharePoint / Teams administrator for IA (management of the channels, publication, audit plan communication, etc.);
- Contributing to innovating ways on how IA serves the business to perform more effectively and efficiently.
ESSENTIAL REQUIREMENTS FOR THE POSITION:
- Proven experience as an administrative assistant;
- Ability to work with a high degree of autonomy;
- Excellent attention to detail, time management skills, and ability to prioritize work;
- Strong delivery focus and “can do” attitude while being proactive;
- Strong communication and English writing skills;
- Seek excellence and challenge the status quo;
- Proficient in Microsoft Office tools;
- Team spirit, self-motivation, and a proactive and committed working style;
- Be trustworthy, honest, and business-minded and support and promote company values.
WORKING CONDITIONS:
- Full-time temporary position (12 months) based in the Cargolux HQ in Luxembourg;
- A Certificate of good conduct (Casier judiciaire, Polizeiliches Führungszeugnis) will be required in case of positive selection.
