We are currently collaborating with a reputable international law firm composed with 15 people based in Luxembourg City.
**Responsibilities**:
Maintain calendars and schedules for attorneys and legal staff, scheduling appointments and meetings as necessary.
Organize and maintain physical and electronic filing systems for legal documents, including contracts, briefs, and court filings.
Prepare and proofread legal documents, correspondence, and reports with a high level of accuracy and attention to detail.
Assist with client intake processes, including drafting engagement letters, collecting client information, and coordinating client meetings.
Coordinate travel arrangements and accommodations for attorneys and staff as required.
Assist with billing and invoicing tasks, including entering time entries and preparing invoices for clients.
Perform general office duties such as photocopying, scanning, faxing, and filing.
Provide administrative support during meetings, including preparing agendas, taking minutes, and distributing meeting materials.
Collaborate with other administrative staff to ensure smooth office operations and support team members as needed.
**Qualifications**:
Previous experience working as an administrative assistant, preferably in a legal setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and colleagues.
Strong organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
Attention to detail and a high level of accuracy in handling sensitive legal documents and information.
Ability to maintain confidentiality and discretion when dealing with sensitive and confidential information.
