Financial Operations - Administrative Assistant
The (Senior) Administrative Assistant will collaborate closely with a team of professionals and other administrative/operational assistants.
Responsibilities:
- Handle administrative coordination within the division
- Organize meetings, appointments, and briefings
- Finalize, distribute and file division documents and reports
- Maintain up-to-date statistics and work plans
- Coordinate with other Assistants and Department members
- Send letters related to financial matters across various regions
- Keep contact lists updated
- Coordinate external guests and visits
- Support team with administrative tasks
- Ensure data quality and assist with document preparation
- Produce MC Notes, invoices, and regular team emails
- Provide guidance on administrative procedures and improve existing processes
- Maintain effective filing and archiving system
- Schedule meetings, organise team communication channels, and handle logistics
- Prepare missions and expense reports
Qualifications:
- Secondary level education with a 2-year certification in a relevant field or equivalent experience
- At least 3 years of professional experience at a senior support level
- Strong sense of responsibility, initiative, and good organizational skills
- Ability to work accurately under pressure and meet deadlines
- Excellent knowledge of MS Office tools, especially Word, Excel, PowerPoint
- Excellent written and spoken English, French and other languages are a plus
This role offers an initial 2-month contract with potential extensions.
Salary ranges from 3,350€ to 4,200€ gross per month based on experience
