We are looking for a
Legal invoicing and retentions Assistant for our client, a European Institution on a temporary contract basis.

Your Responsibilities:

  • Reviewing the payment of invoices, overseeing budget reconciliation procedures
  • Interaction with internal and external stakeholders regarding retentions, purchase orders, and invoices
  • Conducting various fee calculations at both deal and mandate levels, reporting
  • Identifying and addressing any potential critical elements with counterparties
  • Monitoring expenses at both deal and mandate levels
  • Assisting in providing annual accruals to Finance/Accounting teams
  • Managing regular controls and assisting in maintaining payment records
  • Assisting in financial planning and budgeting analysis, budget monitoring and in audit requests
  • Reviewing existing processes and suggesting areas for improvement and automation


You will collaborate closely with the Legal Service department and maintain effective communication with all team members, as well as internal and external counterparts.

You will liaise with various other departments, particularly Finance Control to ensure smooth coordination of operations.

Your Profile:

  • Secondary level education
  • You have a minimum of 2 years' operational experience in a financial or audit environment with a solid understanding of financial and legal documentation
  • You possess a demonstrated ability to take initiatives, meet tight deadlines, and manage multiple competing priorities effectively
  • You have strong verbal and written communication and client relationship management skills
  • You are fluent in English, French or any additional EU language is advantageous
  • You demonstrate a developed sense of discretion and commitment to confidentiality
