The total maximum workload is estimated at
130 man-days.

DESCRIPTION OF THE TASKS

l) Travel Request treatment

Il) Provide Travel options to traveller

III) Organisation of the mission

IV) Manage travel change requests

TASKS

_ a) Mission Desk coordination support (60-70% of the time)_

  • The Mission Desk receives approx travel requests per day. The Mission Desk coordination prioritizes the treatment of the requests according to various parameters, such as departure date, destination, traveller status, etc. All the requests are centralized in an Oracle PeopleSoft based platform, commonly known as "Travel Dashboard".
  • The Travel Dashboard is currently supervised by 2 travel officers.
  • The Mission Desk operator will support the travel officers in supervising the Travel Dashboard. Furthermore, the travel officers are supervising a mailbox where communication related to the business travels is centralized.
  • This mailbox is currently managed by 1 operational assistant. The Mission Desk operator will provide support also in this area.

_b) Mission Desk operator (30-40% of the time)_

  • The Mission Desk operator will take care of the travel request treatment, Provide Travel options to Traveller, Organization of the mission, manage travel change requests.

KNOWLEDGE

  • Certified secondarylevel education and certificate/diploma of further studies in accounting/administration (minimum 2 years) or equivalent proven experience,
  • At least 3 years of experience in administrative assistance (travel bookings experience would be an asset),
  • Fluency in English and French.

COMPETENCE

  • Knowledge of Oracle PeopleSoft would be an asset.
