We are looking for a Soft Service Manager for our client European Space Agency in Redu (Luxembourg-Belgium).


Deliver best practice facilities management which are consistent with client business needs, compliant with regulatory requirements and in accordance with all corporate policies/procedures for all Soft Services on the site of the European Space Agency and Galaxia (ESA/ESEC) in Redu.

Key responsibilities

  • Assist 'CBRE FM Contract & Operations Manager' to provide a wide range of activities on site. Act as deputy in his absence for client, vendors and CBRE.
  • Demonstrate leadership behaviour (Workplace Experience Champion)
  • Responsible for the image and visual standards of the site/s taking ownership of any issues or concerns
  • Manage helpdesk in the absence of FM Contract & Operations Manager
  • Raise purchase orders for goods or services as required, in compliance of business controls at all times. Maintain overview of all created PO's.
  • Train vendors on work order and billing procedures.
  • Issue and track client invoices
  • Check 'Open Work order Report 'on weekly basis in collaboration with Hard Service manager. Take ownership for closing 'WO interventions on site by landlord or vendor'. Provide reports to FM Contract & Operations Manager.
  • Support/Monitor 3rd party maintenance supplier activities when required and report any corrective works arising
  • Actively manage FM Cleaning, Catering & vending contract & supplier contracts
  • Report all QHSE incidents to FM Contract & Operations Manager.
  • Actively supporting preparation of Hazard reports and logbook follow up.
  • Organise inspections for Soft Services on the facility site of client
  • Carry out Mail Room activities & logístical services. (Receiving, sorting and distributing incoming and outgoing post to attendees. Including courier services)
  • Check that printers and photocopiers are supplied with paper.
  • Responsible for meeting rooms (set up, ordering sandwiches)
  • Coordinate site waste and recycling arrangements.
  • Assistance with Soft Service projects on site.
  • Follow up on Drawings, Archive & Digitization
  • Develop and Manage budgets for Soft Service contracts
  • In addition to the abovementioned tasks, other activities and responsibilities may be individually defined
Profil

  • You have a passion for facility/property management.
  • Ideally 1 year of experience in Facility/property management
  • A dynamic and positive attitude is essential for this job.
  • Adaptability to changing priorities and time constraints.
  • You will have the ability to work well under pressure as part of a team and as an individual
  • Key focus for this role is to ensure that all FM Soft services are delivered in a safe, and efficient manner.
  • Safety, security and stewardship
  • Excellent know how of PC skills and Microsoft Office
  • Good verbal/written communication skills in English and French
  • Knowledge and awareness of the facilities management environment is desirable
