Job Overview

The primary purpose of this role is to deliver high-quality, proactive operational support to Partners and Associates in Luxembourg, optimising legal operational processes to drive efficiency and ensure a seamless and consistent business support service across the office.

The Practice Executive will provide end-to-end operational and administrative support to legal teams, with particular emphasis on diary management, travel and expenses, matter management, billing, reporting, and client service excellence.

  • Provide end to end Billing to include pre-billing and billing support, including preparing billing guides, creating and amending invoices, and drafting or refining time narratives in line with partner requirements.
  • Process and amend time entries for Partners and Lawyers, ensuring timeliness and accuracy.
  • Draft, coordinate, and maintain matter engagement letters in accordance with firm standards and client requirements.
  • Collaborate as a unified Legal Support team, providing cross-cover during absences and leaves. Responsibilities may include reception coverage and duties, meeting room coordination, and general legal support as needed
  • Support with documents and amendments, draft correspondence, and prepare presentations and pitch materials, ensuring accurate formatting and compliance with firm standards.
  • Ensure robust electronic file and email management in line with firm protocols, and coordinate appropriate task delegation to the Luxembourg Hub.
  • Provide proactive diary management and gatekeeping for Partners and senior fee earners, coordinating complex international travel and resource requirements.
  • Coordinate meeting logistics, including room bookings, invitations, resources, and catering, ensuring seamless scheduling across time zones and stakeholder groups.
  • Develop and maintain a good commercial awareness of practice groups and clients.

Clients Markets and Growth Support

  • Research and prepare client intelligence and matter insights to support pitches and marketing materials, including the preparation of client information packs with reports, analytics, and research.
  • Update and maintain the Interaction database, progressing partner submissions
  • Assist with coordination and on-the-ground preparation for small client events.

Essential Skills and Qualifications

Qualifications

  • Prior experience as a Practice Executive/Secretary in a law firm or professional services environment, supporting senior professionals in a time-sensitive, client-facing context.
  • Fluency in English is required.
  • Advanced proficiency in Microsoft Office and relevant firm systems, including time capture and billing tools such as Intapp, and CRM platforms such as Interaction.
