Our client, a dynamic international organization operating in Luxembourg's financial sector, is looking for an accomplished and self-motivated Senior Business Operations Manager. This exceptional opportunity is designed for an experienced professional ready to assume comprehensive ownership of varied responsibilities that encompass operational management, legal support, and corporate administration within a high-energy, cross-border business environment.

The position merges senior-level strategic business thinking with practical implementation across legal, financial, and operational domains. You will collaborate with an intimate team of 10 specialists, providing support to executive leadership across various global markets.

This role offers the perfect blend of strategic oversight and hands-on operational excellence in a transaction-focused, multi-jurisdictional setting where your expertise will directly impact business success.

Key ResponsibilitiesOffice & Operations Management
  • Maintain organizational systems and ensure smooth daily operations
  • Coordinate facilities, furniture procurement, and service provider visits
  • Manage postal services, courier coordination, and registered correspondence
  • Oversee comprehensive office management for Luxembourg headquarters
Business & Legal Administration
  • Coordinate with external professional service providers (notaries, banks, legal firms)
  • Assist with transaction-related administrative support
  • Handle confidential documentation and maintain strict discretion
  • Support legal filings including RCS extracts and corporate registry matters
  • Manage invoice processing, sorting, and tracking across multiple entities
Stakeholder Coordination
  • Coordinate meetings, documentation, and follow-up actions
  • Support senior management with diverse administrative and project needs
  • Manage both onsite and remote stakeholder relationships effectively
  • Serve as key liaison between internal teams and external stakeholders

Requirements

Technical Skills
  • Comfortable with digital document management and filing systems
  • Experience with billing systems and legal/financial management software preferred
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
Essential Experience
  • Strong stakeholder management skills across all organizational levels
  • Proven ability to work independently, prioritize effectively, and multitask
  • Experience working in transaction-driven, deadline-focused environments
  • Structured professional environment background (law firms, accounting firms, Big Four, corporate finance, or PE firms strongly preferred)
  • Minimum 5 years in senior administrative/support roles with increasing responsibility

Competitive Package: €65,000 - €75,000 base salary + discretionary performance bonus
