This is an exciting opportunity to be highly visible and the main point of contact for visitors and on-site employees while proactively assisting and providing exceptional in-person, front office support for staff and guests.

We are looking for someone with a professional demeanor, but also possess excellent organizational skills and a high attention to detail. The ability to manage multiple tasks simultaneously is a must.

The Office Administrator will provide superior in-person / in-office support while managing the efficiencies of running the office daily. This is a part-time work arrangement (in-office expectation) 20 hours per week Monday - Friday).

What you will do:
- Manage the central office area / desk - receive and handle telephone calls, coordinate deliveries, packages, and shipping, direct visitors, and on-site employees as required- Coordination of the general office area:
- Ensure the office area is organized and clean-
- Maintain kitchen inventory /supplies and manage as required-
- Maintain office supplies and ensure inventory stocked as required-
- Be initiative-taking and initiative-oriented to ensure streamlined office functionality-
- Manage meeting rooms and reservations as required- Key contact for all administrative and office-related services:
- Act as an internal liaison - communicate company guidelines, policies, provide company directory as required- Administrative support and coordination as required:
- Manage and coordinate weekly and/or bi-weekly meeting agenda ; Holiday Planning ; Sick leave ; Expenses ; Team events- Lunch vouchers-
- Provide team support as required-
- Assist new hires and coordinate staff onboarding: Testing or exams as required ; Entry & Exit déclarations ; Tax card coordination- Tracking of all assigned / issued equipment-
- General Administrative coordination and tasks as assigned and/or required:
- Coordinate: Invoice collection and approval (in collaboration with finance)- Tracking timesheets + managing codes access etc on Mavenlink- Phone pool management-
- Coordinate and manage the following (but not limited to the following):- Expenses and travel support
- Create, manage, update - system access requests
- General team and business related administrative tasks / duties as assigned or requiredWhat you will have:
- This is a part-time work arrangement (must be able to attend the Luxembourg office 20 hours per week Monday - Friday) - must be flexible with schedule and availability- Previous office administrator/administrative assistant experience- Language: _
- Fluency in English is a must have_- French, German, or other language skills considered a bonus-
- Willingness to learn and grow within the organization- Able to work in a fast-paced environment- Takes initiative with a proactive approach- Able to work independently with great attention to detail- Energetic, motivated, attentive- Exceptional ability to create a welcoming and energetic vibe in-office- MS Office skills - Outlook, Word, PowerPoint, Excel (calendar management)
