We are looking for a **Conducting Officer - Delegates Oversight (Fund Admin/TA/Depositary)** to join our fast-growing, dynamic and entrepreneurial 3rd party Management Company (UCITS/AIFM) based in Luxembourg. We are looking for someone with proven operational oversight experience working in Luxembourg third party Management Company/AIFM, who is empathetic, collaborative and results driven. This role would suit an agile and dynamic leader with excellent communication and listening skills.
**Responsibilities**:
- Based in the Luxembourg office, lead the delegates oversight function focused on fund administration, transfer agents, depositaries of our AIFs and UCITS funds
- Your responsibilities will be to ensure the day-to-day controls on delegated duties of the funds under management (e.g.: Fund Administrations, Transfer Agents and Depositary Banks, in particular controls on NAV monitoring, reconciliation, valuations of assets, regular reporting, monitoring of KPI's) mainly AIFs (& some UCITS)
- Specific focus on the overall management of the operations and monitoring/oversight process across our private equity, private debt, real estate investments and some UCITS funds
- Oversight of delegated operational functions through due diligence activities, monitor KPI’s and operational reports
- Follow-up the fund NAVs, expenses, accruals etc to assure appropriate asset pricing has been sourced
- Member of the Conducting Officer’s management committee
- In-charge of all the initial, ongoing and onsite due diligence on FA,TA,Depo
- Maintain and update delegates policies, procedures, SLAs
- Assisting with the audits of the funds, the Management Company
- Recommend corrective measures, ensure a follow-up of identified deficiencies/issues, supervise their implementation and ensure corrective measures
- Be the point of contact with the delegated FA, TA, Depo
- As a part of the Conducting Officers team, report to the Board on regular basis as well on issues and deficiencies observed as regards procedures and policies as well as any measure taken
- Assist in the preparation of the board & management committee reports specifically covering the operations part for both the Manco. and the funds under supervision
- Support the AIFM’s valuation committee & team
- Ensure smooth relationship with supervisory authority and auditors,
- Formalize and strengthen the company’s procedures to constantly improve operational effectiveness,
- Advise the team on developments on laws, regulation, rules and standards which might have an impact on the company,
**Requirements**:
- University degree in finance or economics or accounting
- Strong knowledge of the Fund Services business and processes
- Minimum 10 years of hands-on experience with specific focus on operational oversight, preferably within a Management Company/AIFM or a fund accounting firm
- Experience in managing a team is required
- Good analytical skills and understanding of NAV process, publication, accounting standards,
- Good understanding of the accounting and regulatory environment in Luxembourg for asset managers (LuxGaap, IFRS, UCITS Law 2010, IPEV guidelines, AIFMD);
- Direct experience in private equity, credit, real estate will be highly valued
- Direct experience dealing with the CSSF, Fund Admins, external asset managers, valuation agents
- Good command of Excel, Word and excellent PowerPoint
- Solution-driven and results-oriented, problem solving attitude, constructive mindset
- Ability to manage multiple projects on various time scales, strong follow-up, prioritization and a team player
- Proven experience and appetite to deploy concepts and ideas in practice
- The ability and desire to create a strong compliance culture
- Curiosity and eagerness to learn
- Fluency in English, any additional European language will be an advantage
**Additionally the following skills would be a desirable**:
- Experience in a Management Company/AIFM will be considered a significant asset
- Previous approval as a Conducting Officer will be an advantage
