We are seeking a highly organized and detail-oriented Corporate Services Assistant to join our team. As a key member of our corporate services department, you will be responsible for ensuring the smooth operation of our company's administrative functions.
- Prepare contracts, agreements, and reports in a timely and accurate manner.
- Coordinate the gathering of signatures and perform due diligence on collected documents.
- Prepare wire instructions for review by company representatives and ensure the execution of payments.
- Coordinate and prepare board/shareholder meetings.
- Maintain up-to-date records of shareholders and update the company register accordingly.
- Handle all legal filings with the Luxembourg Business Register (RCS).
- Coordinate the legalization, notarization, and apostille process.
- Provide administrative support to the team in preparing procedures related to company secretarial services.
- Liaise with notaries and other service providers.
- Perform general administrative tasks as required.
The ideal candidate will have completed a bachelor's degree in law or have relevant experience in a corporate services organization. You must be able to work independently, prioritize tasks, and meet deadlines while maintaining confidentiality and discretion.
- You should possess excellent written communication and drafting skills, as well as proficiency in MS Office applications.
- A good command of English and French is essential, with any additional language skills being an advantage.
- You should be proactive, flexible, and able to take initiatives in a fast-paced environment.
